Job: Which containers are past their free days, and what is demurrage costing us this week?
Opening the operations mailbox

Four are past their free days. Three are waiting on a release that was already paid on Tuesday. One has been sitting since the 9th because nobody chased the clearing agent.

MSKU4417392 has been at Durban eleven days. The free days ran out on the 12th. At R1,850 a day that is R9,250 so far, and it keeps running.

The release for the other three was paid on Tuesday. The proof of payment is in the port operations group, not in the mailbox, which is why the line has not seen it.

The week you planned
is not the week you get

Monday starts with a supplier invoice that never arrived and a client who went quiet after the quote. By Wednesday somebody is matching statements to invoices by hand. A signed form came back as a photo in a WhatsApp group and nobody filed it. An approval is sitting in one person's inbox, and that person is on leave.

None of it is hard. All of it is necessary. And it lands on the most capable people you have, because getting it wrong is expensive.

Where the week goes

Chasing people

For documents, replies, updates and sign-offs. Reminding the people you pay to remind you.

Buried in threads

The answer is in an email chain or a WhatsApp group. Nobody has time to read all of it.

Records that disagree

The statement, the invoice and the order should match. Somebody finds out at month-end that they do not.

Deadlines that do not wait

The penalty arrives on time even when the documents do not. The business signs, so the business pays.

It is not your people.
It is how the work arrives.

The work arrives in email and WhatsApp, from clients, suppliers and banks, in whatever format they felt like sending. Your systems hold half the story: the accounting package has the invoice but not the argument about it. So the gap between them is filled by a person, reading, checking and chasing. Every week, for every client.

Why the software and
the extra hire did not fix it

Most owners have tried something already. Each fix moved the work instead of removing it.

What was tried, and what happened

Another app

The documents still had to be found, uploaded and checked by a person. The work moved to re-keying.

Another hire

A good person, and now one more person to chase. When they leave, what they knew leaves too.

An AI tool

Confident answers with no source. Somebody had to check everything it said, so nothing was saved.

An agency

A good pitch, a generic build, and a system that never learned how your business actually works.

What actually takes it
off your desk

An agent is software that does one set job the way a trained person would, every time it comes round. This one checks every delivery against its order, at every site, every day, a job somebody used to do by hand. It brings a person only the lines that do not agree.

When there is no
way in, it uses the screen

Most systems in a South African business have no way in for software. You do not have to replace them, buy a module, or wait on somebody's integration. The agent opens them the way your staff do, at the speed software does it, and shows you every step it took.

A real run, recorded as it happened: our browser agent on the government tenders site. It opens the portal, clears the pop-ups and searches, and the panel on the right says what it is doing at every step. The frame glows while it works.

Read first,
then build

We do not sell you a new system or a generic bot. Every agent is built around one of your own jobs, and it starts with reading how that job really happens today.

How it works

1Read

We connect to your mailboxes and WhatsApp groups and read how the job is really done, including scans and photos of paperwork.

2Build

We build the agent around that job: your templates, your words, your order of work, your systems.

3Run

It does the job every time it comes round, and brings a person only what needs a decision.

Everything the agent does shows its source. Agents do the work inside your systems. Anything that leaves the business, an email, a payment or a filing, waits for a person to approve it.

How we find
your first agent

A quote nobody chased. Figures that disagree across three documents. An approval waiting in one person's inbox. Reading your mail and chats shows which repeated job is costing the most, and that job becomes your first agent.

And your team can
ask it anything

The reading that builds your agent stays useful after it. The deal agreed in a WhatsApp group, the price in an email from May, the file only one person knew about: your team asks in plain words and gets the answer with the document attached. It comes with every agent.

Did the candidate ever send the signed offer back?

Yes. On 12 September, in the placements group, photographed on a phone. It was never filed against the placement, which is why the file still shows it outstanding.

What changes
in your week

The job still gets done, every time. It just stops landing on a person.

What changes

Someone who follows up

Without being asked, and without forgetting the one that matters.

Month-end without the scramble

The matching and the missing items handled as they arrive, not in the last three days.

Handovers that do not lose the file

When somebody is on leave or leaves, the work and the history are still there.

Time to run the business

Your best people back on the work you hired them for.

See it on your own mail,
not on a sample

No presentation about what AI could do. You watch the agent do your own job on your own work, so you judge it on evidence.

What happens after you apply

1Apply

Answer a few questions about the job that eats your week, and leave your WhatsApp number.

2An answer within 24 hours

Whether we can build for you. If we cannot, we say so.

3A working demo in two days

Two days from when we have access to your mailboxes and systems, on your own documents.

4Your agent, from two weeks

A high fidelity agent from two weeks. The exact time depends on the job.

Agents do the work inside your systems. Anything that leaves the business, an email, a payment or a filing, waits for a person to approve it.

If your team uses it,
an agent can too

Mail and WhatsApp connect directly. For anything else your team opens in a browser, the agent works on screen, the way your staff do, so nothing needs replacing and nobody waits on an integration. Where a proper connection exists, we use it.

Your first agent:
we put in R35,000

Building an agent around one business's job, documents and way of working is a R40,000 build. For your first one, we put in R35,000 and you put in R5,000. You see it doing your own job before anything else is asked of you.

Questions owners
ask first

The objections we found most often, answered plainly.

Is this another AI tool that makes things up?

No. The agent does one job you chose, and everything it produces shows the email or document it came from, so you check the source, not the claim. When something is not in your mail, it says so instead of guessing.

Can the agent send emails or change things on its own?

Agents do the work inside your systems, but anything that leaves the business waits for a person to approve it. On your mailboxes it was never given permission to send, delete or change anything.

What is the catch with R5,000?

There is no hidden part. The first agent is a R40,000 build. We put in R35,000 and you put in R5,000. Anything after the first agent is your decision, made once you have seen it work on your own process.

Will the price climb once we rely on it?

Nothing continues unless you choose it. Plans are only put to you after you have seen the first agent working.

Where is our data, and who can see it?

It is stored in Johannesburg and handled under POPIA, South Africa's privacy law. The data processing agreement and the list of subprocessors are published. Your documents are never used to build anything for anyone else.

Our work is messy and lives on WhatsApp. Will it cope?

That is what it is built for. It reads mailboxes and exported WhatsApp groups, including scans and photos of paperwork. Panorithm is verified by Meta as a Tech Provider, which is the step that lets WhatsApp connect live once your number is registered.

What if it gets something wrong?

You see the source behind every answer, and anything that leaves the business waits for a person to approve it. That is why a person signs off wherever a mistake costs money.

We already have Copilot or ChatGPT. Why this?

Those answer what you type into them, one question at a time. A Panorithm agent does one of your own repeated jobs, every time it comes round, in your own templates and systems, without anybody having to ask.

PS. If you close this page, the admin will still be there on Monday. The same documents go missing, the same people need chasing, and month-end lands on the same two people. When one of them leaves, what they knew leaves with them. You can watch an agent do one of those jobs within two days of giving us access, for R5,000 of a R40,000 build. Only 8 businesses a month.
